How do I organize customer data in a CRM without it becoming chaos?

Basic organization structure
Most CRMs have three layers:
1. Companies: One record per business (or per location if they're separate)
2. Contacts: Individual people, linked to a company
3. Deals: Sales opportunities or projects, linked to both company and contact
Naming and tagging
- Use consistent naming: "Acme Inc." not "acme" or "Acme Incorporated"
- Add a company type tag (prospect, customer, partner, inactive)
- Tag contacts by role (decision maker, end user, influencer)
- Use deal stages that match your actual process, not CRM defaults
Duplication prevention
- Merge duplicate contacts/companies before they multiply
- Use a simple lookup rule: if someone emails, search before creating new
- Set quarterly deduplication time if you notice duplicates creeping in
- Most CRMs have merge tools; use them
What you'll learn
After 2–3 months, you'll discover which tags and groupings actually matter for your team. Plan to adjust structure once—not continuously. Stability matters more than perfection.
