How do I get my team to actually use the CRM?

Why adoption fails
Most CRMs collect dust because:
- Data entry feels like busywork with no visible benefit to the person entering it
- It's slower than email or notes at first
- The data is incomplete, so it becomes unreliable
- No one checks or uses it after entry
What actually works
- Make it the single source of truth: Pull reports from it, reference it in meetings, show your team the benefit
- Start small: Don't require 15 fields per contact; start with 3
- Automate entry: Connect email, calendar, or web forms so data arrives without manual work
- Quick wins first: Track something your team already cares about (pipeline forecast, follow-up dates)
- Model it yourself: The person pushing adoption should enter the most data initially
The honest assessment
Adoption takes 2–3 months of consistent reinforcement. If your team never sees the CRM improving their work, they'll abandon it. The tool must solve a real problem they already feel, not create new overhead.
